Cancellations and Refunds

OntraSpace™ Last updated: August 18, 2026

The short version

You can cancel any time, and your service runs to the end of the period you've already paid for. We don't issue refunds or partial refunds. After you leave, USPS requires us to forward your mail for six months — you pay postage at cost plus a small handling fee for each item, or you can tell us in writing to stop forwarding and pay nothing. Most people who have already changed their address everywhere should choose the second option.

The full terms are below. This policy is part of our Terms of Service.

1. Cancelling Your Account

You may cancel at any time by cancelling in your account portal or emailing [email protected] from the address on file. No notice period is required.

Cancellation takes effect at the end of your current paid billing period. You keep full access to the Services until that date, and you are not billed again afterward.

Cancelling stops future billing. It does not entitle you to a refund of fees already paid, and it does not end your obligations under Section 4 below.

Before you cancel, read Section 4. USPS requires us to forward your mail for six months after you leave. You will need to either give us a forwarding address or tell us in writing to stop forwarding. Deciding this at cancellation, rather than later, is what keeps the cost down.

2. Refunds

All fees are non-refundable, with the single exception in Section 7 (if we close your location). This includes monthly and annual subscription fees, setup and onboarding fees, and any prepaid ancillary services.

We do not issue partial or prorated refunds for:

Cancelling partway through a billing period.

Periods during which you did not use your mailbox.

Accounts suspended or terminated for non-payment or for violating our Terms of Service.

One exception. If you pay but never complete your USPS Form 1583, we cannot legally activate your account and you receive no service at all. If it is not completed within 30 days, we will refund what you paid less a $20 onboarding fee and close the account.

Why we work this way: the compliance work behind your account — identity verification, Form 1583 processing, and USPS database registration — happens up front, before you receive a single piece of mail. That cost is incurred whether you stay a month or a year.

2.1 What is not a valid reason for a refund

We want to be direct about this, because it is the most common source of disputes in this industry:

A third party rejected your address. Banks, state filing offices, licensing boards, and payment processors set their own rules, and some apply extra scrutiny to private mailbox (PMB) addresses. We cannot control this and do not refund for it. If your use case depends on a particular institution accepting the address, verify with that institution before you buy.

You could not use the address for a Google Business Profile. Google's guidelines exclude rented mailing addresses from Business Profile eligibility. We state this clearly before purchase.

You did not read the address format requirements. USPS requires the PMB or # designator. Mail sent without it may be returned to the sender, and that is not a service failure on our part.

Mail was lost, delayed, or damaged by USPS or a carrier. Our liability is limited as set out in the Terms of Service.

2.2 When we will make it right

If we made the mistake — we failed to deliver a service your plan includes, billed you in error, charged you after a valid cancellation, or mishandled your mail through our own fault — contact us at [EMAIL] within [30] days. We will correct the billing error or credit your account, subject to the liability limits in Section 10 of our Terms of Service. We handle these case by case and in good faith.

3. Suspension and Termination for Non-Payment

If your payment fails or an invoice goes unpaid:

10 days past due — account suspended. We continue to receive your mail because USPS requires it, and you may still collect it in person during business hours. We stop scanning, forwarding, notifying, and handling packages until your balance is cleared. A reinstatement fee of $45 may apply. We do not hold your physical mail hostage over a balance.

30 days past due — account terminated. Your mailbox is closed, your termination date is reported to the USPS CMRA Customer Registration Database, and the six-month forwarding period in Section 4 begins.

No refund or credit is issued for a suspension or termination caused by non-payment.

4. What Happens to Your Mail After You Leave

This section applies to every closed account, no matter why it closed. Please read it before you cancel.

USPS regulations (Domestic Mail Manual 508.1.8) require us to remail your mail to your new address for at least six (6) months after your relationship with us ends. We cannot refuse your mail during this window.

a. You can switch it off — this is the part to pay attention to. USPS lets you end this by giving us written instructions not to remail your mail, either all of it or specific types. Do that and forwarding stops and you are charged nothing further. Email your instruction to [EMAIL]. We will offer you this choice in writing when you cancel, but you can send it any time.

b. If you don't opt out, forwarding costs money. USPS requires each remailed item to carry new postage. That cost falls on us and we pass it through at actual cost, plus a handling fee of $[AMOUNT] per [item / consolidated shipment]. Billed to the card on file, [monthly / as incurred]. As a rough guide, a typical departing customer sees [AMOUNT]–[AMOUNT]– [AMOUNT]–[AMOUNT] per month for the first two months and much less after that.

c. We don't forward junk. Marketing Mail, catalogs, bulk advertising, and unaddressed circulars are not forwarded and are not billed to you, unless you ask us in writing to forward everything.

d. Give us a forwarding address. If you neither opt out nor provide an address, we cannot forward anything. Your mail will be held, or handled as USPS directs, and we are not liable for anything undelivered because we had nowhere to send it.

e. Keep a valid payment method on file. Unpaid balances may go to collections. Removing your card does not stop the forwarding — USPS requires us to keep going regardless — it only means a debt builds up.

f. The cheapest path is to change your address everywhere, fast. Update banks, vendors, subscriptions, state filings, and your registered agent as soon as you decide to leave, then opt out under (a). Most of what people end up paying for in this window is mail they could have stopped in week one.

g. After six months. First-Class Mail, USPS Ground Advantage, Priority Mail, Priority Mail Express, and accountable mail are returned to the Post Office with the endorsement USPS requires. Remaining classes may be disposed of without further notice.

5. Chargebacks

If you dispute a charge with your bank rather than contacting us first, we will submit this policy, your signed Terms of Service acceptance, and your account records to the card network.

A chargeback filed against a valid charge may result in immediate termination of your account and the start of the six-month forwarding period described in Section 4. Any amount recovered by chargeback remains owed under these Terms and may be pursued.

If you think you've been charged in error, email [EMAIL] first. It is faster than a dispute and we would rather fix it.

6. Price Changes

We may change prices on thirty (30) days' notice to the email address on your account. If you don't want to pay the new price, cancel before the change takes effect. Continued service after the effective date means you accept it.

7. If We Close Your Location

If we discontinue service at your location, we will give you at least sixty (60) days' notice, refund the unused portion of any prepaid period, and waive our handling fee on forwarded items for the six-month period USPS requires. This is the one exception to Section 2.

8. Questions

Contact us before you cancel if you're unsure how any of this applies to you.
